Event planning is no easy task and no matter how seasoned you are at it, it’s important to remember the basics for each and every party. If you’re planning your first special event yourself, you’ll want to pay special attention. 

Here are 6 steps for planning a successful and memorable event.

1. Understand what you want to accomplish. 

This may feel like a no brainer. If you’re planning a wedding, the goal is to get two people married. If you’re planning a graduation party, the goal is to celebrate the grad.

But it’s not that simple. Go beyond the obvious goal and delve deeper. How do you want people to feel at the event? How many guests do you want to have at your event? What do you want them to experience?

2. Choose who is going to be involved.

There are many people involved in a successful event. From other planners to vendors to special guests, there are plenty of people to consider. Depending on the special occasion, you may need to think about any variation of the following:

  • Planning staff (if more than you)
  • Guests or participants 
  • Venue contacts or management
  • Vendors and staff (rental equipment, caterers, photography and videography, florists, cleaners, etc.)
  • Sponsors
  • Donors
  • Speakers
  • Entertainment
  • Board or other controlling interests

3. Determine your budget.

Proper budgeting for your event will ensure you stay aligned with your personal or professional goals (depending on the type of event) and stay within your cash limits.

Remember that the most expensive line items are often the venue rental, catering (food and drinks), and any entertainment. Decor and other rentals, staffing, any special equipment, marketing, and swag or favors will also need to be taken into account.

Account for any items purchased or rentals made as they are completed to update your budget sheet from projected amounts to actual amounts. This will also help you track any additional funds for wish list items or allow a better budget for final purchases.

Continue to look back to your goals to keep your vision focused and realistic based on your budget.
